POSITION SUMMARY - This position is based at the branch office in Kanata, Ontario. The incumbent will report to the HR Generalist & Office Administrator. The Office Assistant is responsible for basic office tasks, phone and receptionist services, and other office duties while maintaining an efficient and professional office area.
SPECIFIC DUTIES - The following duties will be performed:
- Perform receptionist services including handling incoming calls, and greeting visitors;
- Maintain an organized, clean and efficient front office & lobby area;
- Oversee and maintain general office equipment;
- Perform daily mail services including receive and distribute mail and arrange for pickup or delivery of outgoing mail and packages;
- Perform other clerical duties of a general nature as directed by staff or head office;
- Assist in the care of the boardroom and staff kitchen;
- Assist Purchasing with basic local purchases for staff and building requirements;
- Assist staff with organizing in-house staff activities.
KNOWLEDGE AND SKILLS:
- First-rate oral and written communication skills;
- Excellent computer skills which includes proven experience with WORD, and Excel;
- Ability to efficiently plan and organize activities and tasks meeting deadlines as required;
- Above average customer service skills;
- Above average typing and data entry skills.
EDUCATION AND EXPERIENCE:
- High School Diploma or equivalent;
- Office Administration experience and/or training will be an asset;
- Minimum 3 years of experience in customer service and/or office positions.
